Applied Inspiration International Ltd ("we", "us", "our") is committed to protecting your personal data during the recruitment process. This notice explains how we collect, use, store and share personal information about individuals who apply for roles with us.

When you apply for a role with us, we collect and process the following personal data:

  • Contact information (name, email address, phone number)

  • Application materials (CV, cover letter)

  • Interview notes (if shortlisted)

  • References (only after interview, with your consent)

  • Right to work documentation

  • Special category data (e.g. health or disability information, if disclosed)

2. How We Use Your Data

We use your personal data to:

  • Assess your suitability for the role

  • Communicate with you during the recruitment process

  • Conduct interviews and evaluations

  • Verify your right to work in the UK

  • Obtain references if required

We do not use automated decision-making or profiling.

3. Legal Basis for Processing

Under the UK General Data Protection Regulation (UK GDPR), our lawful bases for processing your data are:

  • Article 6(1)(b) – processing is necessary to take steps at your request before entering into a contract

  • Article 6(1)(f) – our legitimate interest in managing recruitment

For special category data (e.g. health or disability status), our basis is:

  • Article 9(2)(b) – employment and social security law obligations

  • Article 9(2)(h) – assessing working capacity

4. Who Has Access to Your Data?

Your personal data is accessed only by staff directly involved in recruitment. We do not share your data with third parties unless legally required.

5. How Long We Keep Your Data

If your application is unsuccessful, we will retain your data for up to 1 year after the recruitment process ends, after which it will be securely deleted.

If you are successful, your applicant data will become part of your staff record and be covered by our internal Staff Privacy Notice.

You have the right to:

  • Access your personal data

  • Correct inaccurate information

  • Request erasure (in certain circumstances)

  • Restrict or object to processing

  • Lodge a complaint with the Information Commissioner’s Office (www.ico.org.uk)
